Healthcare Consultation

At Harmony Consulting Solutions, we utilize our years of experience as leaders in health care to help behavioral health organizations achieve optimal outcomes for their patients and become healthier workplaces for their employees.

We do this by leveraging our leadership experience within a nationwide, complex health care system, our training in data-driven approaches to continual process improvement, and our in-house expertise with multiple accreditation bodies.

These experiences and the skills accumulated through years of leading organizations through the accreditation process will be used to help our clients:

  • Integrate accreditation preparation and regulatory compliance into daily workflow, program operations, and organizational leadership.

  • Monitor intracycle compliance, including developing systems for compliance audits, performance measurement and management, and quality assurance and improvement.

  • Develop and implement action plans to address opportunities for improvement, including those identified through external review, as well as those identified through internal continual improvement efforts.

  • Build sustainable processes to maintain compliance over time and incorporate future changes in standards and regulations.

  • Mobilize their internal resources to support continual survey and inspection readiness.

No matter where you are in the accreditation process, we can tailor solutions to help organizations meet their needs.

Consulting Solutions

  • INITIAL ACCREDITATION:

We utilize a collaborative and proven strategy to develop a survey preparation plan that is individualized to fit each client’s needs. Our consultation services for an initial survey include:

    • A project management approach to survey preparation, which includes the development of milestones and measures of success.

    • A calendar shared between us and key stakeholders in your organization to track the status of deliverables to ensure that tasks are proceeding as scheduled.

    • Standing meetings to check in with points of contact within your organization to answer questions and track progress.

    • Opportunities to conduct onsite or virtual visits to your organization to assess the environment of care for identification of health and safety concerns, issues requiring immediate remediation, and physical concerns that could result in high-risk findings during an actual survey.

    • Assistance in developing or refining policies, plans, or standard operating procedures to ensure comprehensive demonstration of applicable requirements.

    • Mock surveys conducted by our team to familiarize your staff with the survey process, identify and remedy potential areas of vulnerability, help your staff enhance their understanding of accreditation requirements, and increase their comfort in communicating program operations to address accreditation requirements.

    • Review of clinical records, staff training records and competencies, and performance improvement data to ensure standards adherence. If you partner with us to prepare for your organization's initial accreditation, we should begin this work at least 9-12 months before you expect to undergo your survey. However, we recognize that this may not always be possible, and we can work with organizations on a more condensed timeframe if needed. Please contact us to learn more about how we can help your organization.

  • REACCREDITATION:

The reaccreditation process can be just as time-consuming as your initial accreditation process. This is especially true if there have been lapses in the processes that were established to attain initial accreditation, significant leadership or other staffing changes, or difficulty remaining current on changes in the applicable standards.

Even if your organization has stayed current with all of these factors, reaccreditation still requires preparation, and our team is here to help you:

    • Use a project management approach to develop milestones and track the status of survey preparation deliverables.

    • Develop an intracycle schedule for conducting documentation reviews to ensure standards compliance and monitor quality of care provided.

    • Assist with implementing changes in standards since your last survey to ensure ongoing compliance.

    • Support the development of documents that must be updated or reviewed between surveys. Examples include strategic plans, risk management plans, reviews of critical incidents, risk analyses, etc.

•. Assist in the development of annual reports, including those needed by accrediting bodies between surveys to demonstrate ongoing compliance.

    • Opportunities to conduct onsite or virtual reviews of your organization to assess the environment of care for identification of health and safety concerns, issues requiring immediate remediation, and physical concerns that could result in high-risk findings during an actual survey.

    • Conduct mock surveys for your team before the anticipated reaccreditation deadline.

When it comes to preparing for reaccreditation, we advise consulting with us sooner than you may expect. One reason for this is that many accrediting bodies provide a wide timeframe for when they may return to conduct your next survey. This means it is possible that they may return earlier than your anniversary date.

Additionally, allowing us to work with your organization 6-9 months prior to your expected resurvey date typically allows enough time to develop and implement action plans to address issues identified through the consultation process. However, if your organization was previously accredited for less than the maximum time, we recommend that you contact us 9-12 months before your anticipated resurvey date. This may mean reaching out to us very shortly after receiving your initial accreditation report.
